Schedule:
- Monday – Friday 7:30 to 4pm or 8 to 4:30pm, with the possibility of working hybrid after 6 months. After showing competency in the role the hybrid schedule offered will be. (3 days in office and 2 days working from home).
Location:
· Riley Hospital Radiology Department – Neuro Team
Key Responsibilities
· Manage physician and division expenses, receipts, and related documentation in Oracle, SharePoint, and Egencia.
· Coordinate recruitment interviews, prepare and distribute itineraries, and assist with facility tours as needed.
· Arrange meals for faculty meetings, conferences, and related events.
· Order facility supplies and support physician supply needs.
· Assist with case conference setup and coordination.
· Prepare meeting minutes for assigned meetings.
· Distribute mail to physician mailboxes.
· Maintain department call schedules in Amion and Diagnotes.
· Reserve conference rooms for meetings.
· Submit IT requests for faculty.
· Coordinate office moves and workspace setup.
· Submit maintenance requests as needed.
· Coordinate student shadowing experiences.
· Coordinate PTO coverage.
· Support special projects as assigned.
Skills for Success
· The successful candidate should be comfortable using computers, willing to learn the scheduling system for data entry, and able to demonstrate strong organization and communication skills. This position requires both independent work and effective collaboration with a diverse team.
Qualifications
· High School Diploma/GED required.
· Requires 0-3+ years relevant experience; previous administrative experience preferred.
· Experience with matrix organization and complex work environment a plus.
· Requires basic proficiency in MS office (Word, PowerPoint, Excel).
