The Gardens, a Spring Oak Assisted Living Program (ALP) located within The Ocean at 101 Boardwalk in Atlantic City, NJ, is seeking a dependable and organized Admissions & Administrative Coordinator.

This position supports the Executive Director with admissions, sales, Medicaid eligibility reviews, and day-to-day administrative responsibilities. It includes commission opportunities for successful resident move-ins.

The coordinator will help prospective residents and families understand our program, gather the documentation required for review, and move through the admissions process. The position also involves consistent sales follow-up, referral outreach, and helping qualified prospective residents successfully complete the move-in process.

The ideal candidate has experience as an Admissions Coordinator or in a similar role within a nursing home, hospital, assisted living community, or other healthcare setting. Experience working with Medicaid eligibility, documentation, or admissions is strongly preferred.

Responsibilities:

  • Serve as an initial point of contact for referrals, prospective residents, families, and community partners

  • Explain the ALP program and admissions requirements to prospective residents, families, and referral sources

  • Gather financial, medical, and other documentation required for eligibility review and admission

  • Review prospective residents with the Executive Director and RN

  • Coordinate each applicant’s next steps and maintain communication throughout the admissions process

  • Consistently follow up with prospects, families, and referral sources

  • Assist with sales, marketing, outreach, and referral-development activities

  • Track prospects, admissions, referrals, and move-ins

  • Complete monthly eMEVS Medicaid eligibility reviews

  • Assist with lease renewals, including collecting current proof of income and documentation required to recalculate subsidy agreements

  • Prepare the biweekly employee schedule

  • Maintain organized and up-to-date Executive Director files

  • Assist with supply ordering, stocking, and general office organization

  • Provide additional administrative support to the Executive Director as needed

Qualifications:

  • Experience in admissions within a nursing home, hospital, assisted living community, or healthcare setting strongly preferred

  • Experience working with Medicaid eligibility, documentation, or admissions strongly preferred

  • Prior sales, outreach, or referral-development experience is a plus

  • Strong communication, follow-up, and customer service skills

  • Comfortable speaking with residents, families, referral sources, and healthcare professionals

  • Organized and able to manage multiple applicants, documents, and deadlines

  • Professional, patient, and comfortable working with individuals from diverse backgrounds

  • Able to work closely with the Executive Director, nursing team, and other departments
