Responsibilities

The Senior Project Manager (PM) works independently, assuming primary responsibility for planning, directing, coordinating, and delivering project activities through the entire project life cycle (from initiation through handoff to customer) that are major, complex, and business critical. The Senior PM is responsible for leading project objectives and completion on time, on budget, and in conformance with Mayo Clinic project management methodologies and standards.

The Senior Project Manager serves as the portfolio execution leader for Pharmacy Intelligence & Automation. This role is responsible for coordinating and driving strategic initiatives involving pharmacy analytics, automation, artificial intelligence (AI), reporting, operational transformation, and technology optimization across Mayo Clinic pharmacy practice.

The position provides program leadership for a growing portfolio of initiatives and supports enterprise-wide deployment of innovative solutions that improve medication safety, operational efficiency, workforce productivity, regulatory compliance, and financial stewardship. The successful candidate will demonstrate the ability to manage a complex portfolio of strategic initiatives, work effectively with executive leaders and frontline staff, establish governance processes, translate strategy into execution, develop roadmaps and executive-level communications, track value realization and return on investment, lead organizational change efforts, and coordinate analytics, automation, AI, and innovation initiatives across pharmacy.

In addition to managing complex individual projects, this role provides oversight and coordination for an enterprise portfolio of strategic initiatives, ensuring work is appropriately prioritized, governed, resourced, measured, and successfully adopted.

The Senior PM will lead large projects that have site- or enterprise-level strategic importance. Project work has high to very high risk and risk interdependencies, multiple interrelationships, and may have major costs associated. Responsible for managing established budgets, the Senior PM leads and provides direction in the development and tracking of project budgets. The position requires strict adherence to budget management practices and guidelines of both the assigned department and the institution.

The Senior PM independently leads problem-solving and decision-making activities within the scope of the project and change management process, taking reasonable and prudent actions to accomplish agreed-upon project objectives. This individual leverages extensive experience to manage large-scale initiatives and is highly competent in the implementation and sustainment of project outcomes. Advanced negotiation skills, strategic thinking, and innovative problem-solving are essential to this role.

In addition to traditional project management responsibilities, this role is expected to support portfolio governance, strategic planning, executive reporting, stakeholder engagement, organizational change management, resource coordination, and benefits realization activities for enterprise pharmacy initiatives.

The use and application of Agile, Lean, and continuous improvement methodologies is important to this role. The successful candidate must be comfortable leading both technology-focused and operational transformation initiatives while adapting project approaches to meet organizational needs.

Many of the items important to an Agile process are not unique to Agile. This individual may be responsible for monitoring scrum processes and scrum meetings. They may work to increase efficiency, motivate teams, and advocate for changes that ensure quality and timeliness. Responsibilities may include:

  • Guiding teams on Agile practices and values to implement critical projects.
  • Assessing team and organizational maturity and coaching teams to higher levels of performance and effectiveness.

  • Building a trusting and collaborative environment where issues can be openly raised and resolved.
  • Facilitating completion of work without coercion, assignment, or directive management approaches.
  • Facilitating discussion, decision making, and conflict resolution.
  • Supporting and educating Product Owners, particularly regarding backlog development and backlog refinement.

May have direct and indirect reports and may be responsible for leading and developing project staff in a goal-oriented manner. The Senior Project Manager leads and demonstrates a project-focused culture at Mayo Clinic and serves as a mentor and advisor to others regarding project management practices, methods, and standards.

This role will frequently interact with executive leaders, pharmacy operational leaders, informatics professionals, analysts, technology teams, and clinical stakeholders.
