About the job

Description:

Position Summary

The Student Office Assistant helps run the ALCC front desk and supports daily office tasks. Core duties include helping students and visitors at the front desk, answering messages, organizing student records, and assisting with events. The ideal candidate is reliable, organized, and comfortable talking with international students and campus staff. We will train you on all software, university systems, and office tasks. No prior experience is necessary. We will train you on everything you need to know!

Key Responsibilities & Day-to-Day Duties:

Front Desk & Customer Service

  • Greet students, faculty, and visitors with a welcoming attitude and direct them to the right person, department or classroom.

  • Answer the office phone, take clear messages, and respond to basic departmental emails (or route them to the appropriate staff member).

  • Assist international students via WhatsApp and email with general inquiries and registration guidelines.

  • Uphold and explain program policies and procedures clearly to students and visitors.

Office Maintenance & Supplies

  • Keep the reception area clean, tidy, and organized.

  • Monitor office supplies and snacks, and alert staff when inventory is running low so we can restock.

  • Manage student laptop checkouts, maintaining clear tracking logs and equipment organization.

Administrative & Spreadsheet Support

  • Help the ALCC team organize and track data by entering student information into spreadsheets (Excel/Google Sheets).

  • Assist with basic student registration tasks, paperwork organizing, and preparing materials for the upcoming semesters.

  • Assist online instructors with administrative needs, including grading logs and helping set up student conversation practice.

  • Run occasional errands across campus as needed (delivering documents, picking up mail, etc.).

Social Media, Events & Campus Marketing

  • Support departmental outreach by maintaining active social media accounts (Instagram), sharing updates, and posting event graphics.

  • Assist with logistics and student check-ins for VISAS Café.

  • Update and refresh physical bulletin boards across the building with current fliers and promotional materials.

Perks of the Job

  • We build your work shifts entirely around your class schedule. We know you are a student first, so we make it easy to adjust hours during midterms and finals.

  • Stand out to future employers after college by learning actual university software systems (like Banner), managing database records, and getting hands-on experience running campus events.

  • Get to know international faculty and staff across the International Department, giving you a chance to build great professional references and connections on campus.

  • You won't just be sitting at a desk. You'll get to help host and participate in awesome international campus events and weekly socials like VISAS Café.

  • Most of your shift is calm, quiet, and relaxed, which is ideal for getting your daily tasks done. But when event days come around, you get to jump into high-energy, active projects.

  • Once the front desk is taken care of and your daily work is finished, you are fully encouraged to open your books and study on shift.

Qualifications:

  • Must be enrolled as a student at the university.

  • Dependable attendance, a positive attitude, and the ability to work effectively with international students who have limited English.

  • Familiarity with checking emails and typing. Basic comfort with spreadsheets (Excel/Google Sheets). Social media apps are a plus, but we will train you on all software, procedures, and tracking we do!

  • Ability to speak clearly and write basic, professional emails.

  • A strong commitment and ability to maintain strict confidentiality regarding student information and records.

Preferred Qualifications

  • Bilingual

  • International/traveling abroad experience

  • Valid driver's license
